Cold email guide

How do you write a follow-up email when HR doesn't reply?

Last updated · 5 min read· By NextKnock Team

Short answer

Wait 4–5 working days, then reply in the same email thread with two or three lines: a polite reminder of the role, one new and true update if you have one, and an easy next step. If there's still no reply after about a week, send one short closing note and move on. Never follow up more than twice.

No reply doesn't always mean no. HR inboxes in India fill up fast: hiring drives, internal emails, and dozens of applications for every opening. A short, polite follow-up brings your email back to the top of the inbox at a time when someone might have a minute.

When to send a follow-up

A simple follow-up schedule
EmailWhenLength
First emailDay 0 (a working-day morning)80–150 words
Follow-up 1After 4–5 working days2–3 lines
Follow-up 2 (final)About 7 working days after follow-up 12–3 lines
StopAfter follow-up 2Move on to other companies

Adjust for the calendar. Around Diwali, year-end and the end of a financial quarter, inboxes are slower, so add a few days. If the job post gives a closing date, follow up a few days before it rather than after.

How to follow up, step by step

  1. Wait 4–5 working days

Give HR a full working week. Don't count weekends or public holidays, and add a few days during festival season or quarter-end.

  2. Reply in the same thread

Open your sent email and hit Reply, so your original message and resume sit right below the follow-up. Keep the same subject, with 'Re:' in front.

  3. Keep it to two or three lines

Remind them of the role, add one new and true update if you have one (a finished project, a certificate, your joining availability), and offer an easy next step.

  4. Send the second and final follow-up a week later

If there's still no reply, send a short, gracious closing note. It often gets a reply, and if it doesn't, you've ended on a good note.

  5. Stop and move on

After two follow-ups, stop emailing that person about that role. Spend the time on new companies that are hiring this week.

Three follow-up templates

Each one is short on purpose. Copy it, replace the square brackets, and send it as a reply in your original thread.

Follow-up 1: the gentle nudge (after 4–5 working days)

No reply to your first email. Reply in the same thread.

Subject: Re: Application: [Job title] – [Your name]

Hello Hiring Team,

Just following up on my email below about the [Job title] role at [Company]. I'm still very keen, and I'd be happy to share anything else that helps, or to take an assessment.

Best regards,
[Your name]

Follow-up 1 (alternative): with a new update

Something new and real happened since your first email.

Subject: Re: Application: [Job title] – [Your name]

Hello Hiring Team,

A quick update on my application for the [Job title] role: since I wrote, I've [finished / shipped / earned: one real update], which is close to [something the job post mentions]. You can see it here: [link].

I'd be glad to be considered.

Best regards,
[Your name]

Follow-up 2: closing the loop (about a week later)

Still no reply after the first follow-up. This is the last email.

Subject: Re: Application: [Job title] – [Your name]

Hello Hiring Team,

I know things get busy, so this will be my last note about the [Job title] role. If it isn't the right time, I'd be grateful to be kept in mind for similar roles at [Company] later on.

Thank you, and best wishes to the team.

Best regards,
[Your name]

Follow-up mistakes to avoid

  • Following up the next day. It reads as impatient. Give it a full working week.
  • Starting a new thread. HR then has to search for your first email and resume.
  • Guilt-tripping. 'I have sent three emails and nobody replied' won't win anyone over.
  • Changing channels all at once. Email, then LinkedIn, then a phone call on the same day feels like pressure.
  • Following up forever. Two follow-ups is the limit. After that, the silence is the answer for now.

What to do when they do reply

  • 'Please apply on our portal.' Do it the same day, then reply with a thank-you and the application ID.
  • 'We'll keep your resume on file.' Thank them, and set yourself a reminder to check their careers page in a month or two.
  • 'Not hiring right now.' Thank them, and ask if it's okay to write again when a role opens. Most people say yes.
  • An assessment or interview invite. Reply within a few hours if you can, confirm the time in India time, and ask what to prepare.

Frequently asked questions

How long should I wait before following up with HR?

Wait 4–5 working days after your first email. Add a few days around festivals, year-end or quarter-end, when HR inboxes are slower.

How many times should I follow up on a job application?

Twice at most: one follow-up after 4–5 working days and one short closing note about a week later. After that, stop and focus on other companies.

Should I follow up in the same email thread?

Yes. Reply to your original email so your first message and resume appear below the follow-up. Keep the same subject with 'Re:' in front.

Is it rude to follow up on a job application?

No. A short, polite follow-up is normal and expected in India. It's only rude if it's frequent, pushy, or guilt-trips the reader.

Can I follow up on LinkedIn instead of email?

You can send one short LinkedIn note instead of the second email, mentioning that you applied by email. Don't use both channels on the same day.
